How to Onboard a Employee

HRSimplified has multiple ways of adding new employees to the system.


The following process is the Onboarding process that allows a new Employee to onboard themselves with very little effort from the HR team. 


Navigate to the HR Administration -> All Employees menu and look for the Employee Onboarding button at the top right of the screen.




Once selected the Onboarding process starts with the initial capturing of the Employee details, only the minimal details are needed (as can be see below.



At this point in time additional data can be captured by the HR Administrator on the Personal Optional Information tab.

This information is optional at this time and can be added/updated at a later stage by editing the Employee record.


Create onboarding tasks for the people involved in the process is also available on the last tab of the Onboarding screen to allow optional tasks to be created. The screen is auto populated by four tasks to guide the HR Administrator to create tasks to people in the organization to action portions of the onboarding process.  This could include things like Issuing a Asset, Creating a Username, other To-Do tasks, etc.



Once the required data is updated the Create button will activate to allow the HR administrator to send the Invite to the new Employee.


A Email is sent to the Person that needs to onboard with their details included.



The Employee will click on the Link Supplied in the email and verify themselves with their Email address and ID number to ensure they are the correct person for security reasons.


The new Employee will be met with the verification screen:

Note: To have your own logo showing on the Onboarding screen simply upload your Company Logo to the Company -> Company Details screen on HRSimplified.


Once the verification has been completed, the Onboarding screen is displayed to the New Employee to complete the onboarding:

Once submitted the Employee is informed that it has been completed.


Once completed the Onboarding event is added to the Workflow to be approved by HR Administrators.

Navigate to the Workflows -> Approvals -> Onboarding Employees to process the Onboarding.



After processing the onboarding request the Employee record is viewed with the corresponding Onboarding Tasks

Once this is completed the Employee record is created and the Employee is now loaded on the system, the Employee record can now be updated and the Employee Access (User name) can be issued for them to log in as a Employee and use the system.
