How to Share Documents with an Employee

In HRSimplified it is possible to upload private documents and share them with a Employee. Read more about the Uploading HERE.


Once a Private Document is available in the Employee Document section on their Profile, the HR Executive or HR Admin user can activate sharing of document types with the Employees. 


Note: The sharing of documents happen on document type and not individual documents. The sharing works on a Company level and not per individual. This means that if a document type is activated for sharing all employees will see the documents that have that type in their own profile.


Note: Employees can ONLY see Private documents that are loaded on their own profile and not any other employees documents.  


To upload documents to the Employee profile navigate to HR Administration -> All Employees and Edit the Employee you want to add the document to. 


Go to the Document Tab, and select the Other Documents sub tab to add the document




Select the appropriate Document type from the Modal when uploading the document. Keep in mind that the Document type is what is used to share the document with the Employee.



To share the documents navigate to the HR Administration ->Document Settings to activate sharing of documents.

Now activate the sharing of the documents on document type and select the appropriate document type.



When the Switch is set to active for the document type, the employee can immediately see all documents on their profile that has the same Document types.
