What are the different user roles and how do they work?

HRSimplified has a selection of Roles available to assign to a user to access the system

Depending on the role the user will have more or less access to areas in the application, and the data available in the sections.


Basic Overview of the user roles seen below:

This is available only on the Employee Record on the Employment information sub tab.

The Roles or types are only available when a user is given access to the HRSimplified system or Employee self-service via the "Generate user Login"


Roles described:

Employee 

a Employee user can only see menu's that start with "My", and their own Dashboard.

The Employee user can only see their own data, and their own dashboard. They cannot access the HR Administration section.


Management

A Manager user can see everything a Employee can see, but can also access a limited section of HR Administration, only for the employees that report to them. This access is limited to the action menu to submit leave on behalf of the Employee, complete a performance review, or to add a HR note on the Employee file. The manager cannot go into the Employee profile and see any of the Employees private data.

The Manager also has access to the Claims and Leave menu items where they can process and approve leave and claim requests sent to them.
The Manager user can also access the Reporting menu items under each section of the HRSimplified application.


Executive

The Executive role is similar to a Manager or Management role and allows the same level of access as a Manager to approve Leave, claims and also process things like Performance Management and HR Notes.  But the Executive user role also allows the Executive manager access to the Insights menu items like HRInsights, Time and Attendance Insights, Performance Management Insights, and so on. This allows the Executive user to see the HR analytics to make informed Strategic decisions with the HR and other Analytical data. 


HR Administrator

A HR Administration user can access everything a Manager can access, but also has Full access to the HR Administration menu item where all HR data is accessible.


Finance Company Admin

The Finance user can access everything a Manager can access and can also Process (not just approve) the Claims for Processing. The Finance user does not have access to the HR Section with Employee data. 


HR Executive

This user is the Top user, they have access to all sections of the system and can override any action and approve any request. 

This user has no limitation and is a perfect fit for a CEO that does not have anyone to approve their leave requests above them, they can also see all the HR analytics data, and Employee data.


Receptionist

The Receptionist role is used for the Time and Attendance and COVID 19 modules, for group or reception actions. When staff enter the main reception the receptionist can scan their Temperature and capture it on the COVID-19 module, the Receptionist can also see who is In and Out of the company based on the Time and Attendance module. Other than these roles the Receptionist is a Employee user with only access to their own data. They can not see the HR Administration section with personal Employee data.


Project Manager

The Project manager is a Manager user with additional rights to create Projects and assign employees to tasks in the Time and Attendance module. They have the same access as a Manager.


Asset Manager

The Asset Manager is the same as a Manager user, but they have additional access to process Order Requests from the staff for Consumable orders. This is dedicated to the Asset Management Module.
